Reservation Requests
How can I send a message to my guest?
You can always send the guest a message via the reservation system. First, open the reservation from the Inbox and type a message to the guest. Then click “Send” to send the message to the guest.
What is the ‘Inbox’ in the Innkeeper service for?
All your new reservation requests arrive in the ‘Inbox’. New reservation requests have the status ‘Unhandled’ by default. It is important that you actively process every new reservation request. Click here to read how you can easily do this.
How can I find a reservation request in the Inbox or Archive?
You can easily find a reservation request in the Inbox and the Archive using the search bar. You can search by the guest’s name, reservation number, status and room name, among other things. You can also easily filter by month and view the requests per month.
How do I handle a reservation request?
Processing Reservation Requests is quick and easy via the Innkeepers service. Click here to read a detailed explanation on our blog.
How can I archive a reservation request?
First, you have to process the reservation request. You can do this by changing the status of the request. Go to the Innkeeper service and follow these steps:
- In the Inbox, open the request in question. A new screen will now open.
- Hit the “Accept” or “Decline” button and message the guest to let them know if the reservation can go through. Please note: the guest will not see the status change. Have you not yet had contact with the guest? Then send the guest another message to let them know if the reservation can go ahead.
With this action, you have successfully processed the reservation request.
You can then archive the request. You can move the reservations to the archive from the Inbox by clicking on ‘Archive’ behind a reservation.
How can I view my reservation requests?
Log in to the Innkeeper service with your email address and password. You will then automatically end up in the Inbox. Click on a request to view, edit and respond.
How can I respond to a new reservation request?
As soon as a guest has sent a reservation request, you will immediately receive an email from us. This contains all the completed contact details of the applicant. You can answer the reservation request via the Bedandbreakfast.eu reservation system. In the email mentioned above, click on the pink button ‘Send your reaction’.
Responding via the reservation system is quick and easy, thanks to the standard email templates. As soon as the status of the reservation request has been changed to ‘Reservation’, the relevant dates will automatically be blocked in your availability calendar.
Do I have to log in every time to view a new reservation?
No, that is not necessary. Go to www.bedandbreakfast.eu/login and check the ‘remember my login details’ box. If this is the case, your computer or mobile phone will remember your login details. This allows you to view reservations directly from your email. Logging in again is only occasionally necessary for security reasons.
Why do I have to be logged in to view a new reservation request?
You can only fully use all the reservation system functions when you are logged in. All your reservation requests will be clearly arranged below each other. You can respond immediately to a new request and read back old correspondence. When you have processed a request, the availability calendar is automatically updated. As a result, guests always have up-to-date insight into availability. They also automatically receive a review form after their stay.
What advantages does the reservation system offer me?
The reservation system allows you to manage your reservation requests flexibly. All your reservations and options will automatically appear in an availability calendar. The reservation system with a linked availability calendar offers you the following:
- Flexibility: you can manually add reservations you have received by telephone to the availability calendar. (Note: you need permission from the relevant guest for this.)
- Overview: visitors have direct insight into the availability of your B&B.
Control: you prevent double bookings. - Security: Only registered guests in the system receive a review form from Bedandbreakfast.eu.
- Convenience: correspondence becomes easy thanks to email templates in six languages.
Where can I find the email correspondence with my guest?
From the inbox or archive, open the reservation in question. All information about the application, including the e-mail correspondence, can be found on this page.
What are email templates?
Email templates are standard emails that allow you to reply quickly to reservation requests. The email templates are available in 6 languages. You can adjust the templates to your liking and create a new template yourself.
How can I change the status of a reservation request?
- Click on a reservation request to view it. The status of the request is ‘Unhandled’.
- Click on ‘Edit’ on the screen. A new screen will now open.
- Give the request a different status, for example, ‘Booking’ or ‘Cancelled’ and click on ‘Save’.
Only when a reservation request has the status ‘Booking’ the relevant dates will be blocked in your availability calendar. Visitors can then see that you have no availability on those days.
What does the ‘Unhandled’ status in my Inbox mean? Will my guests also see this, and how do I get rid of this message?
Your guests will not see this notification. The status ‘Unhandled’ does not always mean that the guests have not received a response from you. So you don’t have to worry about that. The status ‘Unhandled’ means that our system does not recognise what happened to a reservation request. You can easily solve this by manually changing the status of the request. You do this as follows:
- Click on an unprocessed reservation request in the inbox to view it. A new screen will now open.
- Give the request a different status, for example, ‘Booking’ or ‘Cancelled’ and click on ‘Save’.
The guest can not see that you have changed a status. Have you not yet had contact with the guest? Then it is important to contact us. A reservation request is only final if confirmed by both the guest and the B&B-Innkeeper. After these actions, you have successfully processed the reservation request.
Cancelling
How do I set my cancellation policy?
Navigate to the ‘Rooms’ page via the menu, then click on ‘Adjust”. You are now on the page where you can manage the room information.
Go to ‘Cancel’ on this page and fill in the desired cancellation conditions.
On the same page, you can also enter the prepayment and, if desired, coordinate with the cancellation policy.
Note: You fill in the cancellation policy per room. These conditions are then made available to guests on the presentation page.
Reviews
Can any guest who makes a reservation request write a review?
If a reservation request does not lead to a definitive reservation, the guest will not receive a request to write a review. Requests with the status ‘Unhandled’, ‘Option’ or ‘Cancelled’ will not receive a review request.

How do I get more reviews?
We can only send your guests a review form if they are registered in the Bedandbreakfast.eu system. Your guests will automatically receive a review form if their reservation request has the status ‘Booking’. Pay close attention to the following:
- Has a reservation request been confirmed? Then immediately change the status to ‘Booking’.
- Has a reservation been made outside of Bedandbreakfast.eu? Then manually add it to the availability calendar, including the guest’s email address. Please note: you need permission from the relevant guest for this.
This way, you keep your overview of reservations up-to-date, and all your guests will receive a review form.
My guest made a reservation by phone. How do I ensure that they receive a review form?
Manually add the reservation to the availability calendar. Your guest will automatically receive a review form by email the day after returning home. Please note: you do need permission from the relevant guest for this.
Can guests who have booked with me outside Bedandbreakfast.eu also write a review?
Yes, that’s possible. Manually add the reservation to your availability calendar. Your guest will automatically receive an invitation to write a review the day after they return home. Please note: you do need permission from the relevant guest for this.
Can I prevent a guest who has not stayed with me from writing a review?
Sometimes a guest will write a review, even though they have not spent the night in your B&B. You can prevent this by changing the status of the request in question to ‘Cancelled’. You can do this as follows:
- In the inbox, click on the request in question and then on ‘Edit’.
- Change the status to ‘Cancelled’.
The applicant will now not receive an invitation to write a review. Have you already received a review from a guest who has not stayed with you? Then please contact us.
Which guide lines does a guest review have to meet?
The following rules apply to guest reviews:
- Advertisings, incorrect or deliberately damaging information, obscene language and discriminating and insulting texts are not allowed.
- Reviews not just contain figures, but an explenation as well.
- The opinion of others must be respected.
- Anonymous reviews or reviews under a false name can be removed.
- Only when a guest actually stayed in a B&B, is he or she allowed to write a review about it.
- A B&B owner is not allowed to write a review about his own accommodation. The same applies to other stakeholders.
- Bedandbreakfast.eu has the right to alternate or remove reviews that don’t meet the guide lines, without further explanation.
I disagree with a guest review. What can I do?
Bedandbreakfast.eu wants to be an open and transparent comparison site. A review that meets the guidelines, therefore, cannot be removed. A review sometimes contains critical comments. Try to approach this positively:
- What one guest experiences as negative may be less important or even a plus for another guest.
- You can learn from a critical review and use it to your advantage.
- A single negative review between mostly positive reactions creates a more credible image of your B&B than only positive reactions.
Our advice: respect the opinion of the guest and avoid discussion afterwards.

Why does Bedandbreakfast.eu apply an annual price indexation?
The price level in the Netherlands changes every year as a result of inflation and cost developments. Naturally, this also affects our costs. That is why we annually index the rates of our annual statements. We base this on the inflation rate set by Statistics Netherlands (CBS). The price indexation is applied annually on the 1st of January and applies to all annual listings that are closed or renewed from that point onwards.

How long does it take before my B&B is shown on Bedandbreakfast.eu?
After receiving your payment, your B&B will immediately be displayed on Bedandbreakfast.eu. You will receive a confirmation of this by email. Your listing must meet some basic requirements, such as photos, a detailed description, room information and room rates. As soon as your listing is complete, it will immediately be visible on Bedandbreakfast.eu.
Availability calendar
I received a notification that my availability calendar is not up-to-date. What now?
We strive to ensure that the availability calendars of all B&Bs are always kept up-to-date. In order to provide guests with clarity about the availability information of our B&Bs, a separation has been made in our search results. One part consists of B&Bs, which we know are available on the entered dates of stay, and the other part consists of B&Bs, of which we are uncertain because the calendar is not up-to-date or has been deliberately not updated. Until your availability calendar is updated and you communicate this to us, your B&B will remain with the B&Bs we are not sure are available.
When we receive multiple reports from guests, we are forced to keep your property on the list of B&Bs with uncertain availability for longer. After all, we can no longer assume that your availability information is correct.
How does the availability calendar work?
The availability calendar shows the availability in your B&B. You can indicate per room whether it is available. The availability calendar is directly linked to the reservation system.
As soon as you give a reservation request the status ‘Booking’, the relevant dates and room(s) will be marked as unavailable in the calendar.
What are the advantages of the availability calendar?
Using the availability calendar has important advantages:
- Your B&B is displayed higher in the Bedandbreakfast.eu search results
- You avoid having to turn away guests because you don’t have a room available.
- You prevent double bookings.
- Good information provision includes accurate information about the availability of your B&B. The availability calendar is a useful tool for this.
- If you keep the calendar up to date, visitors to Bedandbreakfast.eu will make a reservation request with you more quickly.
Can I add reservations that do not come through Bedandbreakfast.eu to the availability calendar?
Yes, that’s possible. Log in with your email address and password. Go to ‘My reservations’ in the menu bar and click on ‘Availability Calendar’. Click on the relevant date in the calendar and add the reservation. Your guest will automatically receive a review form the day after they return home. Please note: you do need permission from the relevant guest for this.
Can I also place the calendar on my own website?
Yes, that’s possible. In the Innkeepers service, you will find the option ‘Reservation module on your website’ under the heading Marketing Tools. You can easily follow the steps to place the reservation module on your own website.
Can I turn off the availability calendar?
The availability calendar is always shown on your presentation page. However, you can indicate to Bedandbreakfast.eu that you do not wish to keep your calendar up to date. Your B&B will then be shown at the bottom of the search results for B&Bs whose availability we cannot guarantee.
When you use the calendar, it is important that you process new reservation requests correctly. You do this by changing the status of your reservation requests from ‘Unhandled’ to ‘option’, ‘Booking’ or ‘Cancelled’:
- Open your inbox. You will now see your overview of reservation requests.
- Click on a reservation request to view it.
- Click on ‘Edit’ to change the status.
If you give a reservation request the status ‘Booking’, this date will be blocked in the calendar. Visitors can then see that you have no availability on those days.
How do I ensure that new options and reservations appear in the availability calendar?
Has the guest made a reservation via the Bedandbreakfast.eu system, and is the option or reservation final? Then log in to Bedandbreakfast.eu/login and follow these steps:
- In the inbox, click on the request in question. The data will now appear on your screen. Click on ‘Edit’ on the screen.
- Change the status of the request to ‘Option’ or ‘Reservation’ and click on ‘Save’.
If you now look in your availability calendar, you will see that the option/reservation has been added.
Did your guest make a reservation outside the Bedandbreakfast.eu system, for example by telephone? Then manually add the reservation to the availability calendar. Please note: you do need permission from the relevant guest for this.
How do I manually add a reservation to the availability calendar?
You can add reservations made outside our system to the calendar for a complete overview. Please note: you do need permission from the relevant guest for this.
- In the Innkeepers service, go to ‘My Reservations’ > ‘Inbox.’
- Click the “Add reservation” button.
- Fill in the details of the reservation.
- Click on ‘Save’.
The reservation has now been added to the overview in the availability calendar.
Can I block days in the availability calendar, even if there is no reservation?
You can easily make certain days or periods unavailable in the availability calendar, whether there is a guest or not. You can do that as follows:
- Click on the day in the calendar that you want to block.
- A new screen will open. Click on ‘Block date’ at the bottom right.
- Choose the start and end date of the period in which your B&B is not available.
- Check the unavailable room(s) and click on ‘Save’.
The date or period you selected is now blocked in the calendar.

Why don’t I always see the details of my reservations?
Reservation data is not exchanged between different websites for privacy reasons. A block that arrives at Bedandbreakfast.eu via iCal or a Channel Manager, therefore, will not contain any details about the reservation or the guest.
Can I link my Channel Manager with Bedandbreakfast.eu?
Bedandbreakfast.eu has the option to link with different Channel Managers. We explain more about these Channel Managers in a blog article. You can find this article here.
How can I link my Bedandbreakfast.eu calendar to my Channel Manager?
It is easy to link your Channel Manager to Bedandbreakfast.eu. All you need is a generated key. You generate this via the ‘Synchronisation settings’ in the Innkeepers service. You then send this key to your Channel Manager. The Channel Manager ensures that the link is successfully established.
Can I also sync my calendar with Booking.com?
This is possible! In addition to being able to link your calendar to other platforms via an iCal or Channel Manager synchronisation, we have an additional synchronisation option for Booking.com. For this, you only need to provide us with the link to your Booking.com page. A step-by-step explanation can be found here.
How do I import availability information from my other calendars into my calendar on Bedandbreakfast.eu?
Bedandbreakfast.eu offers three options to synchronise the calendar with other platforms.

Do the calendars sync automatically?
Yes, we ensure that the calendar is automatically updated every 6 hours when it is synchronised through iCal. By the way, you can manually retrieve the availability information at any time using the ‘sync’ button.
How do I export availability information from Bedandbreakfast.eu to my other calendars?
The availability information of your calendar on Bedandbreakfast.eu can also be exported to other calendars. All information about importing and exporting the calendar can be found in our blog article.
Presentation page
How can I upload photos to my presentation page?
Log in to Bedandbreakfast.eu/login with your e-mail address and password.
- Go to ‘My listing’ via the menu and click on ‘Photos’.
- Click on ‘Add photos’.
- Select one or more photos on your computer and add them. The photos are placed in the ‘photo library’.
- You can put a total of 60 photos in the photo library. From here, drag 18 photos to the overview photos and 4 photos to each room.
You can drag multiple photos at once by checking them first. You can change the order of the photos by dragging them with the mouse.
I am unable to add photos to my presentation page. What is this about?
Your photo may not meet our requirements. The photo must meet the following requirements:
- Size: 20 MB maximum
- File type: JPEG or PNG
- General photo dimensions: minimum 500 x 750 pixels or 750 x 500 pixels high.
It is also possible that you have reached the maximum number of photos. You can add a total of 18 photos to the overview photos. You can show 4 photos per room.
My newly added photo meets all requirements but is still not visible on my presentation page. How did that happen?
You may be viewing an old version of the presentation page. You can check this as follows. Go to your presentation page and press F5 on the keyboard. Or right-click on the page and choose “Refresh or Reload” in the shortcut menu. The presentation page is now refreshed, and new changes have become visible.
How can I add a video?
You can easily add a video to your presentation page. You must first place your video on YouTube yourself. Then log in to the Innkeepers service and follow the next steps:
- Go to ‘My listing’ via the menu and click on ‘Videos’.
- Paste the URL of your video on YouTube in the top input field.
- In the second input field, type a short description of the video (add translations by clicking on the small flags).
- Click on ‘Save’.
A link to the video on YouTube appears on your presentation page.
How often is my page viewed?
You can see this in the statistics. Log in to your Innkeepers service with your email address and password. Go to ‘My account’ via the menu and click ‘Statistics’. You can now see how many people have found and visited the presentation page in the previous period. You can also see how many reservations you have received and how often guests have clicked through to your telephone number or your own website.
How do I get higher in the Bedandbreakfast.eu search results?
B&Bs with current availability information are shown at the top of the search result. In addition, a complete listing is important for good findability on the website. Your B&B is easier to find when you:
- Have a good description of your B&B;
- Add translations in all languages;
- Add the maximum number of photos;
- Have a high review score;
- Use the free reservation module.

How do I get to the ‘recommendations’ on the homepage?
All B&Bs with a direct listing on Bedandbreakfast.eu are promoted as ‘recommended’. They are recommended, in turns, on the homepage.

How do I change my password?
First, log in with your e-mail address and password. Then, go to ‘My Account’ via the menu, click ‘Change Password’ and follow the steps.
What are keywords, and why are they important?
Keywords are also known as “search terms” or “keyphrases”. Examples of keywords are apartment, kitchen, swimming pool, sauna, luxury, private, free wireless internet, pet, the name of your place of residence, the names of important attractions in the vicinity, bathtub, etc. So make sure you incorporate enough keywords into your texts! Then your Bed & Breakfast will be quickly found by visitors.
How do I ensure that my B&B is found for keywords, such as facilities and attractions in the area?
Make sure you use enough keywords in your texts. Then your Bed & Breakfast will be quickly found by visitors. It is very easy to enter keywords. Go to your Innkeepers service and follow these steps:
- Click on ‘My listing’ in the menu and then on ‘Description’.
- Enter the keywords in the bottom box, separated by a comma. If your keyword consists of several words, such as bed and breakfast, separate the words with a hyphen (bed-and-breakfast).
How can I add translations?
First, log in to your Innkeepers service and follow these steps:
- Go to ‘My listing’ via the menu and then to ‘Description’.
- Click on the flags next to the entry fields to add text in other languages.
- Click on ‘Save’.
Tip: don’t speak all the languages? For €20 per language (excl. VAT), we will translate the texts for you and enter this into the Innkeepers service. Please contact us about this.
How can I adjust my prices?
- Log in to your Innkeepers service with your email address and password.
- Go to ‘My listing’ via the menu and click on ‘Room rates’.
- You will now see the prices per person for the first room. Click below on another room, if necessary, to adjust the prices.
- Enter the new prices per person and click on ‘Save’.
Enter the general prices here, including breakfast and tourist tax. Via the link ‘click here to easily vary your prices’, you can enter different prices per person, per room.
How can I log in to the Bedandbreakfast.eu Innkeepers service?

I want to use different room rates on weekends. Is that possible?
Yes, that is possible. Log in to the Innkeepers service with your email address and password, and follow the steps below:
- Go to ‘My listing’ in the menu and click on ‘Room rates’.
- You will now see the prices per person for your first room. Click below on another room to adjust the prices.
- Click on ‘Click here to easily vary your prices’. The price table will open.
- Click on ‘Step 1. Select dates’. First, select a period, for example, several months.
- Now uncheck all weekdays except Friday, Saturday and/or Sunday.
- Click on ‘Apply’.
- All weekends are now selected in the price table for your selected period. Enter the new prices and click on ‘Save’.
I want to lower my prices in the low season. How do I do that?
Log in to the Innkeepers service with your email address and password.
- Go to ‘My listing’ in the menu and click on ‘Room rates’.
- You will now see the prices per person for your first room. Click below on another room to adjust the prices.
- Click on ‘Click here to easily vary your prices’. The price table opens.
- Click on ‘Step 1. Select dates’ and select the period of the low season. For example, from October 1 to April 1.
- Click on ‘Apply’.
- The low season is now selected in the price table. Enter the new prices and click on ‘Save’.
Can I copy the prices from one room to another room?
Yes, that is possible. Log in to the Innkeepers service with your email address and password.
- Go to ‘My listing’ in the menu bar and click on ‘Room rates’.
- You will now see the prices per person for your first room. Click below on another room to adjust the prices.
- Click on ‘Click here to easily vary your prices’.
- Adjust prices if necessary.
- Scroll down and click on ‘Copy room rates to other room(s)’.
- Select the room to which you want to copy the prices and click on ‘Save’.
The location of my B&B is not displayed correctly on the map. How can I adjust this?
First, log in with your email address and password. Go to ‘Location’ in the menu via ‘My listing’. You can drag the pink house to adjust the location of your bed and breakfast.&B.
Change or terminate subscription
Can I make my B&B temporarily invisible on Bedandbreakfast.eu?
Yes, that’s possible. Log in to Bedandbreakfast.eu/login with your e-mail address and password. Now follow the next steps:
- Go to ‘My account’ in the menu and click on ‘Terminate’.
- Choose ‘Deactivate Listing’ and confirm your choice by clicking on the grey button with ‘Deactivate Listing’. Your information will now be saved, but your listing will not be visible to site visitors. You can reactivate your listing at any time.
How can I terminate my listing?
Do you want to terminate your listing permanently? First, log in to Bedandbreakfast.eu/login with your email address and password. Now follow the next steps:
- Go to ‘Terminate’ in the menu via ‘My account’.
- Click on ‘Permanently end listing’.
- Choose whether you want to terminate the listing on the end date of your annual listing or with immediate effect.
- Provide a reason for terminating the listing and confirm your choices.
