Instant Bookings

First log on to Bedandbreakfast.eu/login with your email address and password. Go to ‘My Reservations’ in the menu on the left and click on ‘Inbox’. Now, a summary of all your reservations will be displayed. Click on a reservation to view it or to send a message to the guest.

No, this is not necessary. When someone makes a booking, you’ll immediately receive an email from us containing all the booking details. You could also log into the owner portal to view the guest’s details. The guest will instantly receive a booking confirmation and the booking dates will immediately be blocked off on your availability calendar.

If you choose the Instant Booking option, guests can instantly make definite bookings. Such a booking is confirmed immediately without the need for additional prior correspondence. It is instantly noted on the availability calendar, so this calendar is constantly kept up-to-date. The availability calendars on any linked websites are also updated so that double bookings are avoided. Quick and efficient!

If you choose Instant Booking, you’ll pay commission on every booking. More information about this is available at www.bedandbreakfast.eu/register.

Payment will be transferred to you 24 hours after the guest has checked in, as long as the guest has checked in successfully.

This means that the guest has reported a problem at check-in and your payment has been put on hold. Bedandbreakfast.eu will investigate the reported problem and contact you.

You can send your guest a message at any time via the reservatio system. Open the relevant reservation in the Inbox and compile your message to the guest. Then click on ‘Send’ to forward your message to the guest.

All new reservations are sent to the Inbox. From this inbox, you can archive bookings by clicking on the ‘Archive’ button found behind a booking.

As soon as someone fills out the reservation request form, you will receive an email from us. In this email you find all the contact information the requestee filled out. You now have two options:

  • You can contact the guest by calling them or by sending them an email with your own email programm.
  • You can also choose to respond through the reservation system of Bedandbreakfast.eu. In the above mentioned email you then click the pink button that says ‘Respond immediately’.

Responding via the reservation system is fast and simple thanks to the standard email templates. Additional advantage: Permanent reservations will automatically be placed in your availability calendar. However you do have to adjust the status of the request first.

Due to this, guests always have an up-to-date insight into your availability. In addition, they will automatically receive a review form after their stay.

With the reservation system you can control your reservation requests and bookings in a flexible way. All your reservations and options will automatically be placed in an availability calendar. The reservation system with connected availability will offer you:

  • Flexibility: you can add reservations that are made outside Bedandbreakfast.eu to the availability calendar yourself.
  • Overview: visitors will have a direct insight in the availability of your B&B
  • Check: you prevent double bookings.
  • Safety: only guests that are registered in the sytem receive a review form from Bedandbreakfast.eu.
  • Convenience: correspondance is easy, thanks to the e-mail templates in six languages.

You can find all information about the request, including the e-mail correspondence in the overview of reservations. In the owner service, go to ‘My Reservations’ and click ‘Inbox’. Click the envelope behind the reservation request to open the e-mail correspondence.

E-mail templates are standard e-mails that you can use to answer reservation requests fast. The e-mail templates are available in 6 languages. You can adjust the templates to your wishes and create your own, new template.

Go to ‘My Reservations’ and click ‘Reservation Requests’. You now see an overview of reservation requests.

  • Click on a reservation request to view it.
  • The information now appears on your screen. Below in the screen, click ‘Adjust’.
  • A new screen will open. At the top of the screen, you’ll notice that the status of the request can be changed to ‘Option’, ‘Reservation’ or ‘Cancelled’.
  • Change the status of the request, for example to ‘Cancelled’ or ‘Reservation’ and click ‘Save’.

If you give a reservation request the status ‘Reservation’, it will be placed in your availability calendar. Visitors can then see that you have no availability on those days.

All new reservation requests will end up in your ‘Inbox’. New reservation requests automatically get the status ‘Untreated’. It is important that you actively take every new reservation request into treatment. You can do this by adjusting the status of the request. From the Inbox, you can archive the reservation by clicking on the ‘Archive’ button, found behind a reservation.

You can solve this by changing the status of the reservation requests. You can do this as follows.

  • Go to ‘My Reservations’ and click ‘Inbox’. You now see an overview of reservation requests.
  • Click on a reservation request to view it. The information now appears on your screen. Below in the screen, click ‘Adjust’.
  • A new screen will open. In the upper part of the screen you will see that the status of the request says: ‘Untreated’.
  • Change the status of the request, for example to ‘Cancelled’ or ‘Reservation’ and click ‘Save’.

Your guests do not see this notification. The ‘Untreated’ status also doesn’t mean that your guests did not receive a response from you either, so you don’t have to worry about that. The ‘Untreated’ status means that the system of Bedandbreakfast.eu doesn’t know what happened to a reservation request. You can simply solve this by changing the status of the request. Go to the owner service and follow these steps:

  • In the menu, go to ‘My Reservations’ > ‘Inbox’.
  • Click on the concerning request. The information now appears on your screen. Below in the screen, click ‘Adjust’.
  • A new screen will open. In the upper part of the screen you will see that the status of the request says ‘Untreated’.
  • Click on ‘Adjust’ and change the status of the request, for example to ‘Cancelled’ or ‘Reservation’, and click ‘Save’.

By doing this you have taken the reservation request into treatment. The reservation request is now no longer in your ‘Inbox’ but has moved to ‘Overview’. You can find the ‘Overview’ underneath the ‘Inbox’.

Cancelling

It is possible, although the cancellation of a booking can affect the findability of your B&B on Bedandbreakfast.eu. Click on ‘Cancel’ to cancel a booking and add your reason for cancellation. Bedandbreakfast.eu will contact you about the cancellation.

It’s still possible to cancel the booking. Click on ‘Cancel’ to cancel the booking and add your reason. Bedandbreakfast.eu will contact you about your cancellation.

When you cancel an Instant Booking, the dates in question will remain blocked on the availability calendar (depending on your reason for cancellation).

You can set your cancellation conditions in the owner portal. Go to ‘My bookings’ and select ‘Cancellation conditions’ to set your conditions. You can choose from ‘Flexible’, ‘Moderate’ or ‘Stringent’ cancellation conditions and specify your own conditions to apply to your bookings. Your guests will agree with these conditions when they book at Bedandbreakfast.eu.

Yes, you can change your cancellation conditions at any time via your Innkeepers service. Go to ‘My bookings’ and select ‘Cancellation conditions’ to change your conditions. Please note that if you decide to change your cancellation conditions, any changes will only apply to new bookings, not to current bookings.

You’ll receive an email when your guest cancels his or her booking. The dates in question will automatically be cleared on the availability calendar. Depending on your cancellation conditions and the time of cancellation, you’ll receive (part of) the booking amount.

If a guest does not cancel in good time, the regular room rate will still be paid to you.

Reservations

Click on ‘Archive’ behind the booking. This will send the booking in question to the archive. All bookings remain saved in the archive.

In the overview, all reservation requests you have taken into treatment are arranged per month, based on the arrival date. You can remove a reservation request from the overview by clicking the small trash icon behind the request. The request will then be moved to ‘Trash’, at the bottom of the page.

First you have to remove the reservation request from the ‘Inbox’ and the ‘Overview’. The reservation request will then end up in the ‘Trash’, at the bottom of the page. Here you can permanently remove the request be clicking on the red cross to the far right.

Reviews

If a booking request doesn’t result in a confirmed booking, the guest won’t be invited to submit a review.

A review is a written opinion or experience of a bed & breakfast guest. Reviews help visitors of Bedandbreakfast.eu choose a bed & breakfast.

 

Your guests will automatically receive a review form when you change the status of their reservation request to ‘reservation’. They will receive the review form the day after they return home.

Guests who have made Instant Bookings via Bedandbreakfast.eu will – automatically and on the day following departure – receive emails inviting them to submit a review.

We can only send your guests a review form when they are registered in the Bedandbreakfast.eu system. Your guests automatically receive a review form if their reservation request has the ‘reservation’ status. Pay attention to the following:

    • Has a reservation request been confirmed? Then change the status to ‘reservation’ immediately.
    • Has a reservation been made outside Bedandbreakfast.eu? Then manually add this to the availability calendar.
    • This way you will keep your overview of reservations up-to-date and all your guests will receive a review form.

Add the reservation to the availability calendar manually. Your guest will then receive a review form by e-mail on the day after they return home.

Yes, they can. Manually add the reservation to your availability calendar on Bedandbreakfast.eu. Your guest will then automatically receive an invitation to write a review after they return home.

Sometimes a reservation request is rejected but the guest concerned still writes a review. You can prevent this by changing the status of the request in question to ‘Cancelled’. You can do this as follows:

  • In the owner service, go to ‘My Reservations’ and ‘Reservation Requests’.
  • Click on the request in question and subsequently click ‘Adjust’.
  • Change the status to ‘Cancelled’.

Now, the applicant will not receive an invitation to write a review on Bedandbreakfast.eu.

The following rules apply to guest reviews:

  • Advertisings, incorrect or deliberately damaging information, obscene language and discriminating and insulting texts are not allowed.
  • Reviews not just contain figures, but an explenation as well.
  • The opinion of others must be respected.
  • Anonymous reviews or reviews under a false name can be removed.
  • Only when a guest actually stayed in a B&B, is he or she allowed to write a review about it.
  • A B&B owner is not allowed to write a review about his own accommodation. The same applies to other stakeholders.
  • Bedandbreakfast.eu has the right to alternate or remove reviews that don’t meet the guide lines, without further explanation.

Bedandbreakfast.eu strives to be an open and transparent comparison website. A review that meets the guide lines, can therefore not be removed. A review sometimes contains critical remarks. Try to approach this in a positive way:

  • What one guests experiences as negative, might be less important or even a positive point for another guest.
  • You can learn from a critical review and use it to your advantage.
  • A single negative review between mostly positive responses creates a more credible image of your B&B than only positive responses would.

Our advice: respect the opinion of the guest and avoid discussion afterwards.

Presentation page

First log on to Bedandbreakfast.eu/login with your e-mail address and password.

  • In the menu go to ‘My mention’ and click ‘Pictures’.
  • Click ‘Add Pictures’.
  • On your computer, select one or more pictures and add them. The pictures are now placed in ‘Your Picture Library’.
  • You can upload a total of 60 pictures to your photo library.  From there, use the mouse to drag 18 pictures to your general pictures and to drag 4 pictures to each room.

You can drag more pictures at once by checking their boxes first. You can change the order of the pictures by dragging them with your mouse.

It is possible that your picture does not meet our requirements. Your picture must meet the following requirements:

  • Size: maximum of 5 MB
  • File type: JPEG, GIF, PNG or BMP
  • Size of a picture: minimum of 1920 pixels wide and 1080 pixels tall.

It is also possible that you have already reached the maximum number of pictures. You can place a total of 18 general pictures and 4 photos per room.

It is possible that you are viewing an old version of your presentation page. You can check this as follows: Go to your presentation page and hit the F5 key on your keyboard. Or click the page with your right mouse button and in the quick menu choose ‘refresh’. Your presentation page is now refreshed and new changes become visible.

You can easily add a video to your presentation page. First, you’ll have to upload your video to YouTube. Then log into the Innkeepers service and follow these steps::

  • Go to ‘My listing’ and click ‘Videos’.
  • Paste the URL of your YouTube video into the top field.
  • Into the second field, enter a brief description of the video (add translations by clicking on the small flags).
  • Click ‘Save’.

A link to your YouTube video will now be displayed on your presentation page.

You can see this in your statistics. First log on to Bedandbreakfast.eu/login with your e-mail address and password. In the menu, go to ‘My account’ and click ‘Statistics’. You can now see how many people visited your presentation page in the last period.

B&Bs with updated availability information will have higher search result rankings. A comprehensive listing is also important when it comes to ensuring good findability on the website. Your B&B will be more findable if you:

  • describe the B&B in detail;
  • add translations;
  • add photos;
  • have a high review rating;
  • use the free booking module.

All B&Bs listed directly on Bedandbreakfast.eu are promoted as ‘recommended’. These listings appear on the homepage on a rotational basis.

On B&B for Sale you find an up-to-date offer of B&B’s for sale in Europe.

On B&B For Sale you can offer a property for sale as a bed & breakfast. First log on to Bedandbreakfast.eu/login with your e-mail address and password. In the menu, go to ‘Service’ and click ‘Sell your B&B’. Or go to the registration page of B&B for Sale if you don’t have a mention on Bedandbreakfast.eu.

Change or terminate subscription

Yes, this is possible. First log on to Bedandbreakfast.eu/login with your e-mail address and password. Now follow the following steps:

  • Go in the menu to ‘My Account’ and click ‘My listing’.
  • Subsequently click ‘Remove temporarily from the internet or terminate permanently’.
  • Subsequently, check the box at ‘Remove temporarily from the internet’ and confirm.

Your information will now be saved, but your mention is not visible to our website visitors. You can re-activate your mention at any given moment.

Do you want to permanently terminate your mention? First log on to Bedandbreakfast.eu/login with your e-mail address and password. Now follow the following steps:

  • In the menu go to ‘My Account’. Click ‘My listing’.
  • Subsequently click on ‘Remove temporarily from the internet or terminate permanently’.

Google Street View

With Google Street View you can explore cities and villages worldwide, with panoramic images on street level, from behind your computer.

Do you see a picture of a street with the location information of your B&B on Bedandbreakfast.eu? Then Google Street View is available at your address. Visitors of Bedandbreakfast.eu can click different spots in the picture and thereby virtually explore your street.

You can adjust the position of the picture yourself, and thereby offer a better view of your B&B: in the owner service, go to ‘My Mention’ and click ‘Google Street View’ to change the settings.

Yes, you can. In the owner service go to ‘My Mention’ and click ‘Google Street View’. Now clear the box ‘Show Google Street View on my presentation page’.

In that case, Google does not have any images of your street yet. Google is quickly collecting new images worldwide. As soon as pictures of your street become available, Google Street View will automatically be activated on your presentation page.

Subscribe

Go to www.bedandbreakfast.eu/register and choose the mention of your choice. You can register immediately via the online registration form.

After receipt of your payment, your B&B is immediately displayed on Bedandbreakfast.eu. You will receive a notification of this by e-mail. Please note that your listing must meet some minimum requirements, such as photographs, detailed description, room information and room rates. Once your listing is complete, it will immediately be displayed on Bedandbreakfast.eu.

Availability calendar

The availability calendar shows the availability in your B&B. You can display the availability per room. The availability calendar is directly connected to the reservation system.

  • As soon as you change the status of a Reservation Request to ‘Reservation’, the concerning dates and room(s) will be marked not available in the calendar.
  • When you have Instant Bookings, the dates and room(s) relevant to the bookings are immediately marked as unavailable in the calendar.

Using the availability calendar has various advantages:

  • Your B&B will end up higher in the search results on Bedandbreakfast.eu.
  • You will prevent from having to turn down guests when there is no room available.
  • You will prevent double bookings.
  • Part of good information supply is accurate information about the availability in your B&B. The availability calendar is a useful tool for that.
  • When you keep your availability calendar up to date, visitors of Bedandbreakfast.eu will sooner make a reservation request at your B&B.

If you now look at your availability calendar, you can see that the option/reservation is added to the calendar. Did your guest make a reservation outside the system of Bedandbreakfast.eu, for example by telephone? Then manually add the reservation to the availability calendar.

Reservations that are made outside of Bedandbreakfast.eu can be manually added to the calendar, for a complete overview.

  • In the owner service, go to ‘My Reservations’> ‘Inbox’ and click the button ‘Add booking’.
  • Fill out the information of the reservation.
  • In the upper part of your screen you can see that the status standardly says ‘Reservation’.
  • Click ‘Save’.

The reservation is now added to your overview and to the availability calendar.

In the availability calendar you can simply make days or periods unavailable, whether there are guests are not. You can do this as follows:

  • In the calendar, click on a day you want to make unavailable.
  • A new screen is opened. In the lower right corner, click ‘Make date unavailable’.
  • Choose the start and end date of the period during which your B&B is unavailable.
  • Check the unavailable room(s) and click ‘Save’.

The date or period you’ve selected is now made unavailable in the calendar.

Synchronize calendars

  • Login to the innkeepers service on Bedandbreakfast.eu with your email address and password.
  • In the menu, click on ‘My reservations’ and then ‘Synchronize calendars’.
  • Open the room of which you would like to synchronize the availability calendar.
  • In a separate window, go to the calendar that you use in addition to Bedandbrekfast.eu. Pick up the availability information of the room in question. Use the link (URL) provided for this purpose by the other platform.
  • Paste this link in the appropriate field at step 2 in the owner service of Bedandbreakfast.eu.
  • Name the calendar, and click Save.
  • Repeat these steps for all rooms.

Yes, we make sure that the calendar is automatically updated every 6 hours. In addition, with the ‘Synchronize’ button you can manually update the availability information at any given time.

You can also export the availability information of your calendar on Bedandbreakfast.eu to other calendars. To do so, go to ‘My Reservations’ in the Owner Service, and click ‘Synchronize Calendars’. At the bottom of the page you can see a link (URL) that you can use to synchronize your calendar on Bedanbreakfast.eu.

Due to privacy reasons, reservation information is not exchanged between websites. Therefore, synchronized reservations in your calendar on Bedandbreakfast.eu are only visible as non-available dates. Thus you cannot see the reservation information.
